About these terms

These terms cover your use of DC Workflow, the document-control service at app.dcworkflow.com, including when it is opened inside Microsoft Teams. DC Workflow is operated by Piksort Pty Ltd.

How we handle personal information is explained in our Privacy Policy.

What DC Workflow does

DC Workflow helps project teams control their documents. It lets you:

  • keep a register of drawings and documents, with numbering and revisions;
  • send documents for review, mark them up, and record decisions and sign-offs;
  • issue documents to other parties with transmittals, and see when they are downloaded;
  • collect documents from other parties through submission portals;
  • share documents through links;
  • receive transmittals emailed to a DC Workflow capture address; and
  • optionally connect your organisation's Microsoft 365, so documents and registers are copied into its SharePoint.

Some features use artificial intelligence — for example, suggesting a title and description for a document you upload. Suggestions can be wrong, so check them before you rely on them.

DC Workflow is under active development, and its features change over time.

Your account

You need an account to use DC Workflow, except to open things someone has shared with you by link. Accounts use a work email address — personal email providers aren't accepted — and the address has to be confirmed, either with a code we email to it or through the invitation you were sent.

You're responsible for keeping your password to yourself and for what is done with your account. You can see where you're signed in, and sign out of other devices, from your account settings. If you think someone else has used your account, reset your password from the sign-in page and contact us at support@dcworkflow.com.

Organisations and projects

People are grouped into organisations by the domain of their work email. Organisation administrators manage the organisation's settings — such as its document numbering, branding and Microsoft 365 connection — and everyone in the organisation can view them.

Projects are where documents live. What you can see and do in a project depends on how you were added: as a project member, as a reviewer on a document, or as a recipient of something shared with you. If you use DC Workflow for your organisation, you confirm you have its permission to do so.

Your content

“Your content” means the documents, files, markups, comments, signatures and other information you or your organisation put into DC Workflow. We use it to run the service for you: storing it, showing it to the people you've given access, generating previews and stamped copies, reading text so documents can be found and described, and copying it to Microsoft 365 if your organisation has connected it.

Only upload content you have the right to share with the people you share it with.

Sharing and links

Some ways of sharing work by link. Transmittal links, links to review records, shared document portals and public document links can be opened by anyone who has the link, without an account, so treat them like the documents themselves. Review links and submission portals still require the person opening them to sign in.

You decide what to share and with whom. When you share with people outside your organisation, they can download and keep copies.

Acceptable use

When you use DC Workflow, don't:

  • try to reach projects, documents or accounts you haven't been given access to;
  • upload malware or anything designed to harm people or systems;
  • use links, portals or emails sent through DC Workflow to send spam or to mislead people;
  • interfere with the service, overload it, or get around its limits or security; or
  • use it to break the law or anyone else's rights.
